A written day-by-day proposal with venues, hotels, coach and a per-person price. Revised until it fits.

Confirmation
Venues confirmed in writing, hotels and coach held, deposit schedule aligned with your school calendar.

Preparation
Parent meeting, payment plan, passports, repertoire planning with each venue's music office.

Your Hollis Ridge tour manager meets you at arrival and stays with the group until departure.

A first outline and a price range
One page: suggested route, number of performances, hotel standard, the per-person price range for your group size, and the questions we need answered to go further. No commitment, no sales calls unless you ask for one.
- Proposal, two to three weeks
A written day-by-day proposal
Route and dates, each day's rehearsal and performance slots, named venue types with confirmation status, hotels, coach, meals, excursions, and one per-person price with inclusions and exclusions listed line by line. We revise it as many times as it takes.
- Confirmation, month two
Venues in writing, dates held
Once you approve, we confirm each performance venue with its music office and send you the confirmations. Hotels and coach are held. You receive the contract, the deposit schedule and a parent-meeting deck.
- Preparation, months three to twelve
Everything a director needs to run the group
Payment plan and online collection, passport timeline, medical and consent forms, rooming lists, instrument logistics, repertoire coordination with each venue, and a final itinerary book for every traveler.
- On tour
A Hollis Ridge tour manager with the group
Airport meet, coach and hotel check-ins, venue set-up and sound checks, daily briefings with directors and chaperones, and a 24-hour emergency line back to Asheville. You conduct. We run the day.
